Description of the Job

The Durban University of Technology (DUT) can be found on the coast of South Africa’s east coast, which is particularly warm.
It is spread out across seven (7) campuses in the tropical and picturesque city of Durban, as well as in Pietermaritzburg, which is known for its undulating hills that flow over from the Drakensberg Mountain.

Certain Minimum Prerequisites:

In the field of secretarial, office management, administration, or business administration, a National Diploma (NQF Level 6) or a qualification that is relevant is required.
There must be a minimum of five years of experience working in a secretarial or administrative capacity, with at least three years of experience working in a senior management capacity.
A background in office management that encompasses a variety of functions from different disciplines.
a significant amount of familiarity with standard secretarial practices and Business English, as well as modern office equipment, practices, and procedures.

The ability to demonstrate a high level of knowledge and experience in computer literacy, particularly with regard to Windows-based computer programs such as Microsoft Office and the Internet.
with the ability to work independently and under pressure, as well as to prioritize tasks in accordance with deadlines.
The capacity to compose a variety of letters and memorandums, as well as the ability to carry out office management details without consulting the line manager of the organization.
Skills in planning and organization that have been demonstrated, as well as the ability to successfully promote process improvements in order to create institutional efficiencies.

It is necessary to possess strong interpersonal and public relations skills, as well as the ability to interact effectively with a population that is culturally and ethnically diverse across the university.
The ability to learn university operational and financial systems, as well as an understanding of budget reporting and skills in Microsoft Excel.
Exceptional communication abilities, both verbal and written/electronic, as well as the capacity to interact successfully with constituents at all levels required.

Principal Duties and Obligations:

The Senior Director receives a comprehensive range of high-level administrative and secretarial support, which includes the management of the diary.
Confirms the daily schedule and work plan, as well as makes appointments in a manner that is efficient with regard to time.
Assists with a wide range of support tasks, some of which may involve highly sensitive and confidential information.

You are responsible for typing out presentations, reports, and correspondences, including the layout and formatting.
Makes certain that the office of the Senior Director is adequately briefed and is familiar with the agenda prior to each and every meeting as soon as possible.
takes on the responsibility of ensuring that all matters that require the intervention of the Senior Directors are carried out in a timely manner without any supervision provided.

This individual is responsible for organizing meetings and providing participants with pertinent documentation in a timely manner.
The Senior Director and other relevant staff members are responsible for arranging domestic and international travel and accommodations, as well as foreign currency exchange.
Complies with DUT procedures in the preparation of all travel vouchers and the maintenance of records of those vouchers.

Determines how functions should be organized. Responsible for compiling guest lists, organizing venues, and arranging and coordinating catering requirements within the constraints of the budget.
Within the parameters of the position’s authority level, makes administrative decisions that are generally considered to be minor or routine.
Prepares routine correspondence and compiles data for complex reports, such as staffing schedules, requests for study leave, and motivation for budgets, among other things.
Primary office supplies are coordinated, monitored, and ordered in accordance with the purchasing procedures and administrative controls established by the Department of Undertakings (DUT).

Is responsible for overseeing the servicing and maintenance of office equipment in the office of the Senior Directors.
It is important to follow up with the heads of Secretaries of the ambit regarding the deadlines for submitting data.
ensures that computerized documentation, records, and statistics are backed up consistently and effectively.
In order to obtain approval, the Senior Directors’ office budget is compiled.

Effectively communicates with third-party vendors and other parties as the situation calls for it.
When acting in the role of frontline representative to the Senior Director, the individual is responsible for promoting the image of the office by attending to all duties and tasks in a prompt, efficient, and diligent manner.
Ensures both personal and professional growth by, for example, participating in pertinent training courses to acquire new skills or update existing ones in accordance with new technological advancements or developments.
