Purpose Of The Job
This person is in charge of making sure that training and development programs in the regions are properly supported by providing effective, efficient, and all-around administrative, secretarial, and support services to the regional office central liaison, regional stakeholders, and managers.
Main Duties And Responsibilities
The perfect candidate should be able to take on and complete the following main duties and responsibilities:
- Sound, effective, and efficient management of all records and information, including making sure that information is easy to find, correct, and complete.
- Professionally listen to, handle, and answer all stakeholder questions, making sure they are answered in a friendly and timely way.
- Getting learner registrations done on time and correctly, making sure that all the necessary information is recorded correctly and according to process
- Prepare Tranche Payments T2, T3, and T4 on time and correctly when needed, making sure that all the necessary information is connected and saved for easy access.
- Do your secretarial work quickly and well to help with good regional management.
- Quickly set up the system for booking all Trade Test Bookings
- Transferring an apprenticeship
- Recusal of an apprenticeship: 24 A

- Putting Learners on Hold
- Give stakeholders advice and help on methods, procedures, and information that have to do with skill development.
- Help levy-paying members figure out how to apply for mandatory and discretionary grants by giving them advice and help.
- Give correct information from the Regional Office to the Central Liaison to make sure information flows easily between the Regional Office and the Head Office.
This includes everything that has to do with running the Regional Office and the Skills Forum. - Make sure that project efforts, including ad hoc projects, are carried out by giving regional help to all merSETA projects.
- Maintain effective office management practices that are in line with best practices for secretaries.
This includes systems for keeping records, writing letters, communicating, and requesting payments. - As needed, help the regional office with effective logistics management for making trip plans and event planning, as needed for roadshows and events.
- Getting the right information into the system and making sure the record is always up to date
- Quickly and accurately make reports as needed to help the office reach its goals while making sure the information is correct.
- Oversee and keep an eye on everything that has to do with apprenticeships, such as scheduling trade tests, transferring students, rescinding 24A, and making sure that learning and apprenticeship programs stick to their schedules in line with the Quality Management System (QMS).
- Handle all parts of the punishment process for apprentices and learners in a timely and effective way.
- Track, monitor, and measure each person’s success against standards and goals all the time.
- Sharing knowledge, writing down information, and letting key partners know about new unit-related information
Knowledge, Experience, Qualification, And Skills
- Degree or a NQF 6 title that is equal to it in Business Administration, Office Administration, Commerce, Project Management, Training, or a related field
- It is necessary to have worked in administration and customer service for one year at merSETA.
