RECEPTIONIST REQUIREMENTS INCLUDE:

Applicants are required to have a Matric or equivalent.
No prior experience is necessary.

The knowledge required for the RECEPTIONIST job:

Microsoft’s proprietary product.

Skills pertinent to the RECEPTIONIST workplace:

Etiquette for using a telephone.
Having strong verbal and written communication skills is essential.
Skills in dealing with people.
Competence in operating a switchboard.
Capability to learn the components of the department’s service delivery system.
Capacity for independent action and initiative.
Capacity for working without direct supervision.
Capability of organizing one’s work.
The ability to set priorities for one’s work.

RECEPTIONIST ASSIGNED TASKS:

Receive messages and phone calls, as well as channel them to the appropriate role players.
When it is necessary, take down the messages.
Quickly disseminate any messages you receive.
Immediately attend to all customers as well as visitors who are relevant officials.
Customers are greeted and received before being directed to the appropriate departments.
Take care of all the questions that the customers have.
When it is requested, provide customers with fundamental information regarding the Department’s services.

Maintain communication with both internal and external personnel.
Please provide the necessary information in a timely manner.
Maintain constant coverage of the switchboard by attending to both incoming and outgoing calls.
Continue to maintain a database of other important phone numbers for people to contact.
When necessary, faults in the telephone system should be reported.
Utilize the Telephone Management System in order to maintain a constant eye on the cost of the telephone.

Monitor and transfer incoming calls.
You will take in telephonic messages.
Perform duties involving the operation of office equipment such as photocopiers and fax machines.
When necessary, bring the internal telephone directory up to date.
When necessary, the internal telephone directory should be made available to all of the internal users.

Create a monthly report for each extension detailing the cost of the telephone call.
Keep a telephone directory updated.
Maintain an up-to-date phone directory for the officials.
Eliminate the dormant users from the internal directory.
Keep the visitor register updated and under control at reception:
Guests should be registered.
