REQUIREMENTS:
Applicants are required to hold a Matric Certificate/Grade 12 or equivalent in order to be considered.
No experience required.
Computer literacy is required for the position, including programs such as Microsoft Word, Excel, and PowerPoint.
Language skills and the ability to communicate well with people at different levels and from different backgrounds, communication skills (written and verbal), the ability to act with tact and discretion, and good presentation skills are all job-related skills that you should have.
DUTIES:
Offer the Director support services in the areas of secretariat and receptionist work.
Receive telephonic calls and, in the event that the call is not intended for the relevant senior manager, direct the caller to the appropriate role players.
Make notes in the diary regarding upcoming events and appointments.
Documents need to be typed up for the Director as well as other staff members working within the unit. Perform tasks involving the operation of office machinery, such as photocopiers and fax machines.
Offer the Director the clerical support services that are required.
Establish communication with various travel agencies in order to plan your trip. when relevant documents are received, checks the arrangements that have been made.
Coordinate gatherings and activities for the Director and the staff working in the unit.
Finds suitable locations for meetings and events, notifies participants of their invitations, coordinates the provision of refreshments, and arranges the necessary seating arrangements.
Perform the necessary processing of the unit’s travel and subsistence claims.
Handle the processing of each and every invoice that has resulted from the work that the Director has done.
Keep a basic record of the minutes of the Director’s meetings whenever they are required.
Create routine reports and letters of correspondence.
As needed, you will be responsible for filing documents on behalf of the Director and the unit.
Perform administrative tasks such as keeping track of attendance and billing for phone calls.
All documents, both incoming and outgoing, must be received, recorded, and distributed.
Take care of the purchasing of standard items such as stationery, refreshments, and so on.
Gather any and all documents that may be pertinent to the Director’s preparation for the meetings.
Maintain an up-to-date understanding of the prescripts, policies, and procedures that are relevant to her or his working environment in order to provide support that is both efficient and effective for the Director.
Research the pertinent Public Service and departmental prescripts and policies, as well as any other relevant documents, to ensure that the application of these guidelines is understood in the correct manner.
Maintain a current awareness of the policies, practices, and procedures that are in effect in the office of the Director.
