Position Description
The primary function of this position is to manage the reception area, the switchboard, and additional administrative responsibilities, all while maintaining a professional demeanor when interacting with Head Office, the Dealer Network, and Volvo’s customers.
To carry out the responsibilities associated with the reception and the switchboard in an effective manner, while maintaining pride and dignity.
This position is responsible for reporting to the Administrator of the Branch.
Goals of the Position:
Take the role of the public face of the branch.
Assist all departments.
Complete responsibility for the switchboard, which includes fielding incoming phone calls and both taking and distributing messages.
Respond quickly when someone calls.
Calls that are received should be transferred to the appropriate extension.
Ensure accurate messages taken when persons are not available.
Receive guests/visitors.
Make sure the person who is being visited is informed as soon as possible, and provide feedback to the guests or visitors.
Handling client queries and complaints.
Courier services should be used to make it easier to send packages and mail documents.
Make sure that all of the company’s internal mail gets delivered to the Dealer Network by using the Sky Net couriers.
Bringing the records of the courier up to date.
Whenever it’s necessary, assistance with faxing, copying, and scanning is provided.
Duties related to general administration on an as-needed basis.
Qualifications:
Matriculation or N3.
Qualifications in receptionist/secretarial/administrative work would be an asset.
Job Experience:
3 years of experience working the reception desk and the switchboard.
Strong background in administrative tasks.
Computer literate.
A comprehension of, and proficiency in using, Microsoft Outlook, Excel, and Word.
