Job Description

The selected candidate will be tasked with supporting and supervising all front office operations, encompassing the reception area, mail management, procurement, planning and scheduling, and facility oversight.
They will additionally serve as an aide to the Office Administrator.

An Advantage to Possess

  • Certificate in Reception and Office Administration.
  • At least 2-5 years of administrative or clerical experience required.
  • At least 2-5 years of experience in reception and switchboard operations.

Your Responsibilities for the Brand

Operational Responsibilities

  • Welcome arriving and departing clients/guests with a sincere smile and direct eye contact; guide them to the designated waiting area or meeting room and appropriately inform the relevant team members of their presence.
  • Address the needs and demands of VIP guests.
  • Respond to and manage incoming calls while supplying essential information as required.
  • Ensure that housekeeping upholds a safe and sanitary reception space, including the reception restroom.
  • Verify that the television and lighting beneath the reception desk are turned off before to departure.
  • Verify that the television is functional during business hours.
  • Execute additional clerical receptionist responsibilities as required, including filing, photocopying, binding, faxing, and emailing.
  • Guarantee punctuality by reporting for duties at the designated times.
  • Maintain telephone etiquette and prohibit personal phone calls to and from the switchboard and company phone.

  • Create high-quality, organized, logical, concise, and comprehensible templates, workbooks, and financial models that are supported by factual information without numerical values in the formulas.
  • Ensure that the aforementioned final version and other documents are systematically saved and backed up in chronological order.

Expansion and novel markets/products

  • Provide assistance with projects as instructed periodically.
  • Facilitate company promotions and participate in events and advertising as necessary.
  • May be obligated to don promotional apparel if necessary.
  • Comply with established measures and implement activities to attain the company’s short-term, medium-term, and long-term objectives.
