Job Description
This is an Extended Public Works Programme carried out by CapeNature in accordance with applicable Ministerial Determination and related rules.
CapeNature is looking to hire a Receptionist to deal with our front work area everyday. The Receptionist is the first point of contact the whole association, which requires an inspirational perspective and cleaned, professional appearance. This position will perform multiple tasks a variety of front office activities. The Receptionist requires a demonstrated effectiveness in working a multi-line telephone system, offering administrative help and managing clients and queries.
Key Responsibilities:
Customer care
• Greet and welcome visitors when they arrive at the workplace.
• Give and promote a productive and cordial customer care.
• Welcoming on-site visitors, determine nature of business, and announce visitor to appropriate personnel
• Helping walk in clients.
• Direct guests to the suitable individual and office.
• Give essential and exact information face to face and through telephone/email.
Admin and Clerical support
• Maintain office security by following safety procedures and controlling access through the front counter. (Monitor logbook, issue guest identifications)
• Oversee Head Office boardrooms and scheduling.
• Update calendars and schedule meetings as required.
• Manage the Receptionist area and it is slick and clean to guarantee it.
• Organize travel and convenience as required.
• Records/Vault help as required.
• Help Organization of foundation, resources and stock.
• Help with acquisition organization and treatment of enquiries.
Switchboard/Telephone Duties
• Managing the main switchboard, answering, and transferring of calls
• Taking and delivering messages or transferring calls to voicemail when appropriate personnel are unavailable.
Requirements: Qualifications and Experience
• Grade 12
• Clear criminal record
• Capacity to write and commumicate in any two of the Western Cape official languages..
• At least 1 year Receptionist/Front Office experience/customer care experience
Recommendations
• Computer literacy in MS Word and Excel
• In possession of a valid driver’s licence
• Experience in Office Administration Basic knowledge on finance transactions
